Studio Booking Policies

These policies help every session run smoothly, protect the studio space, and keep expectations clear before production begins.

Payment & Confirmation

  1. A 50% deposit is required to secure your booking.
  2. Bookings are only confirmed after payment.
  3. Balance must be paid before or at the start of the session.

Time Policy

  1. Time starts from your confirmed booking slot, not arrival.
  2. Setup and breakdown time are included in your booking.
  3. Overtime is charged per extra hour.

Cancellation & Rescheduling

Rescheduling

  • 48+ hours notice: Free reschedule, subject to availability.
  • 24–48 hours notice: 50% rescheduling fee.
  • Less than 24 hours: Treated as a cancellation.

Cancellations

  • 48+ hours notice: Deposit can be transferred to a future booking.
  • Less than 48 hours: Deposit is non-refundable.
  • No-show: Full booking fee may be charged and deposit forfeited.
  • Rescheduled bookings must be used within 30 days unless otherwise agreed.

Smoove Studio reserves the right to reschedule bookings in rare cases of unforeseen circumstances, with proper notice.

Space Usage Policy

  1. The studio must be used strictly for professional and lawful creative activities.
  2. Any activity that is unsafe, disruptive, or inappropriate is not permitted.
  3. No smoking or substance use inside the studio.
  4. Clients must adhere to their allocated booking time, including setup and breakdown.
  5. Noise levels and conduct should remain respectful of the space and surrounding environment.
  6. Studio capacity must be respected unless prior approval is given.
  7. Minors must be accompanied by a parent or legal guardian, and all required consents must be obtained prior to the session.
  8. Animals are allowed by prior approval only; a handler is required, and proof of vaccinations may be requested.

Space & Equipment Care Policy

  1. Clients are responsible for the proper handling of all studio equipment, props, and facilities.
  2. Clients are fully liable for any damages to equipment, props, or the studio space.
  3. Equipment must not be moved or adjusted without guidance from the studio team.
  4. The studio must be returned in a clean and organized condition after use.
  5. No screws, nails, paint, confetti, glitter, powder, or liquids are permitted without prior written approval.
  6. Clients using approved special materials or animals remain fully responsible for any resulting damage or cleanup.
  7. Smoove Studio reserves the right to charge cleaning or repair fees where necessary.

Capacity

  1. Recommended for small to mid-size teams of 2–8 people.
  2. Larger productions must be discussed in advance.

Security & Privacy

  1. Smoove Studio is committed to maintaining a safe and secure environment for all clients and staff.
  2. The premises may be monitored by CCTV for security purposes only.
  3. Client privacy is respected at all times; Smoove Studio will not access, use, or distribute client content without consent.
  4. Personal belongings brought into the studio remain the sole responsibility of the client.
  5. Smoove Studio is not liable for loss, theft, or damage to personal items.
  6. Clients are expected to ensure that all guests and team members respect the privacy and safety of others within the space.
  7. Any security concerns or incidents must be reported immediately to the studio team.

Content & Copyright Policy

  1. By booking the studio, clients grant Smoove Studio the right to capture behind-the-scenes (BTS) photos and videos within the space for promotional and marketing purposes.
  2. This may include content featuring the studio environment, setup, and general shoot activity.
  3. Client-owned content, including final photos and videos, will not be used, published, or distributed by Smoove Studio without prior consent.
  4. Clients who prefer not to appear in BTS content must notify the team before the session begins.
